Grow Campus (“we,” “us,” or “our”), the facilities operations entity for the Black Hills Consortium’s 15-acre technology campus in Custer, South Dakota, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, use our facilities, hold a membership, attend events, or interact with our services in any capacity.

2. Information We Collect

2.1 Membership Data

When you enroll in a coworking membership or campus tenancy, we collect:

  • Full name, email address, phone number, and mailing address
  • Company name, role, and business type
  • Billing information (credit card or ACH details processed by our secure payment provider)
  • Membership tier, start date, and renewal history
  • Emergency contact information
  • Identification for key card issuance (photo ID verified on-site, not stored digitally)

2.2 Facility Access Data

To maintain campus security and manage facility usage, we collect:

  • Key card access logs (entry/exit timestamps and door/zone accessed)
  • Wi-Fi connection logs (device MAC address, connection time, and bandwidth usage)
  • Visitor sign-in records (name, company, sponsoring member, date/time)
  • Parking utilization data
  • Meeting room and shared space booking history
  • Security camera footage in common areas and building entrances (retained for 30 days)

2.3 Incubator Participant Data

Participants in incubator and accelerator programs hosted on campus may have the following data collected by the program operator (e.g., Auric Labs) and shared with Grow Campus for facility management purposes:

  • Participant name, company name, and program enrollment status
  • Workspace assignment and facility access requirements
  • Program milestone dates and event attendance
  • Special facility needs (equipment, room configurations, accessibility requirements)

Detailed program data such as pitch decks, financial information, and equity arrangements are managed by the program operator and are not accessed by Grow Campus facilities staff.

2.4 Event Booking Data

When you book event space on campus, we collect:

  • Event organizer name, organization, email, and phone number
  • Event type, date, time, expected attendance, and space requirements
  • Catering, equipment, and setup preferences
  • Insurance certificates (for large events as required by event agreement)
  • Billing and payment information for event deposits and final charges
  • Attendee lists where provided for check-in and security purposes

2.5 Website Visitor Data

When you visit our website, we collect:

  • IP address and approximate geographic location
  • Browser type, device, and operating system
  • Pages visited, time on site, and navigation patterns
  • Form submissions (contact inquiries, tour requests, membership interest)

3. How We Use Your Information

We use collected information to:

  • Manage memberships, billing, and facility access
  • Maintain campus security through access monitoring and camera systems
  • Process event bookings, rental agreements, and related communications
  • Coordinate incubator program logistics and facility assignments
  • Send campus updates, maintenance notices, and event announcements to members
  • Improve campus services, amenities, and operational efficiency
  • Respond to inquiries about tours, memberships, and event space availability
  • Comply with legal, safety, and regulatory requirements

4. Information Sharing

We do not sell your personal information. We may share information with:

  • Black Hills Consortium entities: Campus tenants and members may have their basic contact and membership information shared with relevant BHC entities (e.g., THE OP for cafe loyalty programs, Outpost Media for event coverage) only with your consent or as necessary for campus operations.
  • Pass Creek Holdings LLC: As the property owner, Pass Creek Holdings receives aggregated occupancy, utilization, and financial data from Grow Campus operations. Individual personal information is shared only when necessary for lease or property management purposes.
  • Incubator program operators: Facility access and usage data is shared with program operators (e.g., Auric Labs) for participants in their programs, as specified in program agreements.
  • Service providers: We use trusted providers for payment processing, email communications, website analytics (Vercel Analytics), and campus management software. These providers process data on our behalf under contractual obligations.
  • Emergency services: In the event of a medical emergency, fire, or security incident, we will share relevant information with emergency responders as necessary.
  • Legal requirements: We may disclose information when required by law, court order, or governmental regulation.

5. Security Cameras and Physical Security

Grow Campus operates security cameras in common areas, building entrances, parking areas, and campus perimeters. Cameras are not installed in private offices, restrooms, or other private spaces. Security footage is:

  • Retained for 30 days and then automatically overwritten
  • Accessed only by authorized security and facilities personnel
  • Shared with law enforcement only when required by law or in response to a security incident
  • Stored on secure, access-controlled systems

6. Data Retention

Membership records are retained for the duration of membership plus three years. Financial and billing records are retained for seven years for tax compliance. Event booking records are retained for three years. Facility access logs are retained for one year. Security camera footage is retained for 30 days. Website analytics data is retained for 26 months.

7. Your Rights

You may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of your personal information (subject to legal retention requirements)
  • Opt out of non-essential communications (campus newsletters, event promotions)
  • Request a copy of your access log data
  • Object to processing of your data in certain circumstances

8. Children’s Privacy

Our coworking and business services are designed for adults. Children may visit campus as part of family events or community programs but are not eligible for memberships. We do not knowingly collect personal information from children under the age of 13. Event organizers hosting family-friendly events are responsible for ensuring compliance with children’s privacy requirements.

9. Changes to This Policy

We may update this Privacy Policy periodically. Changes will be posted on this page with an updated effective date. Active members and tenants will be notified of material changes via email.
